How to Write an ATS-Friendly Resume in 2026 (With Real Examples)

Why your resume might never reach a human
Over 90% of large companies use an Applicant Tracking System (ATS) to filter resumes before a recruiter ever opens them. If your resume isn't formatted for ATS parsing, it can be rejected in seconds — regardless of how qualified you are.
Here's exactly what to fix.
1. Use standard section headings
ATS software looks for headings like "Work Experience," "Education," and "Skills." Creative alternatives like "My Journey" or "What I Bring" often don't get parsed correctly. Stick to the standard names.
2. Skip tables, columns, and text boxes
Multi-column layouts and tables look great to a human eye but frequently scramble or drop content entirely when an ATS parses them. A single-column, top-to-bottom layout is the safest structure.
3. Match keywords from the job description
ATS software ranks resumes by keyword relevance to the job posting. If the job description says "cross-functional collaboration" and your resume says "worked with other teams," you may lose points on an exact-match search. Read the job description carefully and mirror its language wherever it's honestly true of your experience.
4. Use standard file formats
.docx and PDF (text-based, not scanned/image) are the safest formats. Avoid submitting a resume as an image or a Canva design exported oddly — many ATS platforms can't extract text from these reliably.
5. Quantify your achievements
"Improved page load time" is weaker than "Improved page load time by 40%, reducing bounce rate by 12%." Numbers are scannable both by ATS keyword matching and by the human reviewer who reads it next.
6. Actually check your score before you apply
Guessing whether your resume will pass isn't necessary anymore — you can score it directly against a real job description before you submit it, and see exactly which keywords are missing.
Pen2Pencil's free ATS Checker does exactly this: paste your resume and a job description, and get a real match score plus the specific gaps to fix. Pair it with the free Resume Builder if you're starting from scratch — it's built to be ATS-friendly by default, not just visually nice.
The bottom line
An ATS-friendly resume isn't about tricking software — it's about making sure your real qualifications are actually readable by the system standing between you and the recruiter. Fix the formatting, mirror the job description's language honestly, and verify before you hit submit.
